Referral & Authorization Queue Stabilization

Stop letting “pending” become the workflow.

Rylign helps specialty healthcare organizations stabilize one defined queue, payer workflow, or service line by making status, ownership, completion evidence, next action, escalation, and appointment readiness visible.

Do not send patient-identifiable information through public forms or unsecured email.

The pattern is usually bigger than “the queue needs cleaning.”

Controlled scope. Visible outcomes.

Operational ownership without an employee-level workload hiding inside the contract.

Your employees may be capable of handling referral and clearance work. The problem begins when several people maintain pieces of the workflow incidentally and nobody owns aging, next actions, documentation consistency, and escalation end to end.

What Rylign handles

A defined operational control layer

  • Scheduled review of the agreed referral, authorization, eligibility, financial-clearance, or scheduling-readiness queues
  • Cross-system status reconciliation using client-approved systems and source information
  • Standardized status, deferral, next-action, ownership, and escalation documentation
  • Aging, exception, backlog, and repeated-touch monitoring
  • Weekly or monthly operational visibility based on the selected tier
  • Practical workflow recommendations when recurring failure patterns appear
What this is not

Not unlimited labor by another name

  • Front-desk phone coverage, patient call-center work, or general virtual assistance
  • Unlimited items, queues, providers, locations, meetings, or same-day requests
  • Continuous 8–5 availability, urgent clearance, or permanent on-call coverage
  • Full-service billing, collections, appeals, coding, clinical, legal, or compliance decisions
  • Comprehensive authorization production or payer calling unless separately scoped
  • A low-cost substitute for a full-time employee-level workload

From fragmented work to controlled ownership

A deliberate operating rhythm, established before recurring service begins.

Every engagement begins with scope, safeguards, and a measurable baseline. Rylign expands only when the operational value and capacity requirements are clear.

01

Qualify the workflow

Confirm the queue count, systems, volume, cadence, ownership gap, and whether the need fits a controlled consulting engagement.

02

Establish safeguards

Document the scope, service windows, responsibilities, secure access, BAA requirements, and escalation contacts before work begins.

03

Stabilize for 30 days

Create the baseline, queue dictionary, documentation standard, responsibility matrix, and service rhythm while working within a defined item allowance.

04

Maintain control

Keep the approved queues current on schedule, surface exceptions, report measurable operating signals, and rescope when volume changes.

Multi-Queue Stabilization Pilot

The existing 30-day pilot remains available for up to four queues and 200 item touches, with a responsibility matrix, baseline aging, documentation standards, escalation pathways, scheduled maintenance, and a continuation recommendation.

Clearance evidence standard

An account is not financially cleared simply because someone touched it.

A strong workflow visibly supports the applicable coverage, referral requirement and validity, authorization requirement and scope, CPT/service, diagnosis when payer-relevant, rendering provider, location or site of service, effective dates, remaining visits or units, and final operational status.

Front-desk guardrail: Check-in should rely on a current clearance status for the actual date of service. If the documented status is pending, hold, inactive, reschedule, or otherwise unresolved, the account should be reverified through the organization’s approved workflow before proceeding.

Management visibility

Measure the workflow signals Rylign can responsibly influence.

Targets are established after the pilot baseline. Rylign does not guarantee payer approvals, reimbursement, or a specific denial reduction.

01

Queue aging

Median age, oldest item, and items beyond the agreed threshold

02

Next-action visibility

Worked items with a documented owner, next action, and follow-up date

03

Backlog movement

New, resolved, and net unresolved in-scope items

04

Documentation consistency

Completion rate across an agreed monthly record sample

05

Readiness visibility

Selected upcoming cases with a visible status by the agreed cutoff

06

Repeated touches

Items repeatedly reviewed without meaningful progression

Capacity-protected recurring service

Choose the level of queue ownership the workflow actually requires.

Pricing is based on defined operational responsibility, review cadence, and capacity. It is not an hourly staffing rate.

Capacity stays explicit. An item touch is one record reviewed during a scheduled service pass that receives a substantive action, status decision, documentation update, or escalation. Monthly allowances reset each month and do not roll over—even when the engagement is paid annually. Additional volume, queues, locations, systems, or service lines require written rescoping.

HIPAA-aware operating boundaries

Client-approved access. Minimum necessary use. No casual PHI handling.

When the work requires access to PHI, service begins only after appropriate contracting, security review, and a BAA when applicable. The client’s approved EHR and secure systems remain the working environment and source of truth.

  • Unique client-issued credentials; never shared logins
  • MFA, VPN, or approved secure remote access
  • Role-based, minimum-necessary permissions
  • No PHI in public forms, ordinary email, or unapproved tools
  • Client-system audit trails and documentation ownership
  • Prompt access termination at engagement end
  • No subcontractor access without written approval and required agreements
  • Incident reporting under the executed contract and BAA

Best first fit

Specialty organizations with real staff, real volume, and a missing ownership layer.

PHI-free fit review

Describe the operational scope, not the patient cases.

Rylign reviews the queue count, systems, volume, service cadence, and ownership gap before recommending a pilot or recurring tier.

01

Organization profile

Basic business information only.

02

Queue and workflow profile

Approximate operational facts are enough for the first review.

Frequently asked questions

Clear boundaries before system access begins.

Ask about your workflow →
Do we have to use Epic?

No. Rylign can work within Epic or another client-approved EHR, practice-management, referral, scheduling, or queue-based platform.

Will Rylign take over every referral and authorization?

No. The service covers specifically identified queues and responsibilities within an agreed capacity. Production authorization work, payer calls, and other tasks are included only when expressly scoped.

Does Rylign provide urgent or daytime coverage?

No. Work is completed during agreed scheduled service windows. Same-day emergencies, live front-desk coverage, and immediate patient-clearance decisions remain with the client unless separately contracted.

Can Rylign reduce an existing backlog?

The pilot establishes the baseline and works within its included allowance. A large historical backlog may require a separate fixed-scope reduction project before recurring maintenance begins.

Can you guarantee fewer denials or higher reimbursement?

No. Rylign can strengthen workflow control, documentation, visibility, and follow-through, but payer decisions, reimbursement, and denial outcomes cannot be guaranteed.

Will we need a BAA?

A BAA will generally be required when Rylign's work involves access to PHI. The client's privacy, legal, or compliance team should confirm the organization's requirements before access is granted.

Why not hire an employee?

An employee is the better answer for continuous, high-volume, real-time work. Queue Control is designed for a bounded specialized workflow that needs accountable control without creating a full-time position.

Is annual prepayment available?

Yes. After a successful 30-day pilot, qualified clients may prepay for 12 months and receive the equivalent of one month of service at no charge: $16,500 for Queue Monitoring, $27,500 for Queue Control, or $44,000+ for Queue Control Plus. Monthly capacity still resets each month, unused capacity does not roll over, and added scope is priced separately.
